The Problem

Every transaction at this company involved multiple parties: an OTC provider, an operations team, and a finance department. The workflow holding it all together was informal by design — conversations happened over messaging apps, each department manually downloaded their piece of the data into their own spreadsheet, and nobody was working from the same numbers.

When operations and finance sat down to reconcile, they weren't comparing data. They were arguing about whose version was correct. Those meetings regularly stretched from hours into days.

One root cause: no reliable data infrastructure.

The Solution

I built an automated workflow that replaced the informal messaging chain entirely. When a transaction came in, the relevant information was routed simultaneously to the right stakeholders — each party seeing only what they needed, with full confidentiality maintained between OTC partners. Every transaction automatically populated a centralized Google Sheet: one source of truth, all departments, real time.

The informal channels closed. The data discrepancies disappeared. Reconciliation stopped being a multi-day negotiation.
